ROLE OVERVIEW

Reporting to the Database Manager, the candidate helps coordinate annual giving initiatives targeting new, current, and lapsed donors including direct solicitation, prospect research, stewardship, and event support.

KEY ACCOUNTABILITIES

Donor Cultivation, Stewardship & Recognition to Grow the Annual Giving Program

  • Coordinates with the Development Officer, Annual Giving to develop a plan for annual giving campaigns that utilizes direct solicitation, email, social media, and phone calls to grow the number of donors and amount of financial support.
  • Coordinates with the Development Officer, Annual Giving to develop and implement stewardship activities through tailored correspondence, reports, and updates in relation to campaigns such as welcome series, thank you calls/emails, Ocean Wise event follow-up, holiday salutations, and updated system thank you communications.
  • Assists with building and editing lists for email communications, direct mailings and telemarketing (segmenting lists of prospective, current, and lapsed donors).
  • Assists with the monthly giving program including the maintenance of stewardship and cultivation activities.
  • Coordinates with the Development Officer, Annual Giving to develop Peer-to-Peer and Third-Party Event Fundraising strategies and procedures.
  • Assists in the maintenance and stewardship of third-party fundraising systems, such as Charitable Impact, Benevity, and Canada Helps.
  • Responsible for responding to donor incoming phone and email inquiries.
  • Assists in organizing donor engagement activities, including cultivation and stewardship events, creating materials, and coordinating invitations.
  • Collaborates with the Development Officers to research current and potential funders to identify giving potential as needed.

Administrative Support

  • Supports the Database Manager with updating the donor database (Salesforce), as required, and acts as the main resource for gift processing/data entry.
  • Prepares and sends acknowledgement letters and tax receipts in coordination with the Database Manager.
  • Provides administrative support for the annual giving team, including scheduling meetings and updating donor communications in the database.
  • Develops procedural documents for general inquiries, stewardship processes, and the database system requirements.
  • Other duties as required to support the overall objectives of the annual giving team and the broader organizational goals.

Helping to Create a Culture of Philanthropy at Ocean Wise

  • Actively identifies and assists with creating opportunities for cross-team learning on the importance that everyone at Ocean Wise plays a role in philanthropy.
  • Involves the appropriate Ocean Wise program staff or senior leaders in developing and deepening relationships with donors and prospects.

QUALIFICATIONS

Education & Experience

  • A minimum of two years' experience in annual giving/direct response fundraising, not-for-profit, or a related field.
  • Bachelor's degree in a relevant field (such as nonprofit management, public administration, marketing or communication or business administration) or an acceptable combination of education, training and experience.
  • Experience working with donor databases (e.g., Salesforce), digital communications tools (e.g., Mailchimp), and online giving platforms (e.g., Fundraise Up) is an asset.
  • Experience working with a diverse array of stakeholders is an asset.
  • Experience working in conservation considered an asset.

Skills

  • Exceptional written and verbal communication skills.
  • Strong interpersonal skills and demonstrated ability to work with teams and independently.
  • Ability to manage multiple priorities, tasks, and relationships in a fast-paced and collaborative environment.
  • Strong customer-service orientation.
  • Proficient in Microsoft Office suite of products, Salesforce, Fundraise Up or similar databases.
  • Proficiency in digital communication tools.
  • Ability to demonstrate a high level of professionalism.
  • Ability to respond positively to frequent change.
  • Ability to work with and maintain a high degree of confidentiality.
  • Interest in becoming an impactful fundraising professional.

Working Conditions

  • 37.5 hours a week.
  • Ocean Wise is a remote-first organization with beautiful headquarters in downtown Vancouver. If desired, you will be able to work at Ocean Wise's headquarters at 440 Cambie Street.
  • Flexibility to work evenings and weekends on occasion, and some travel may be required.
