The Administrative Lead is a school-wide administrative supervisory position within the School of Construction and Building Sciences (SCBS). Reporting to the Academic Strategy and Operations Manager (ASOM), this role provides supervision, coordination, and operational oversight for administrative services across multiple portfolios. The position supports Program Administration staff through workload coordination, onboarding, training, mentorship, and day-to-day supervision. It is responsible for overseeing shared administrative processes and systems, developing standard operating procedures and training resources, and supporting the implementation of school-wide initiatives. Working closely with academic and administrative teams, the Administrative Lead helps ensure consistent service delivery, effective resource utilization, and alignment with school priorities. Key Responsibilities Administrative Coordination & Supervision Provide day-to-day supervision, guidance, and support to Program Administration staff across SCBS Coordinate workloads, schedules, and resources to ensure operational needs are met and service levels are maintained across the school. Support recruitment, onboarding, training, coaching, and ongoing staff development. Develop and maintain training resources, procedural documentation, and standardized administrative practices to promote consistency, knowledge sharing, and operational continuity. Act as a resource for administrative staff and assist in resolving complex operational issues. Administrative Operations & Process Improvement Oversee school-wide administrative processes, systems, and shared resources that support effective operations. Monitor administrative effectiveness and identify opportunities to improve processes, service delivery, and operational efficiency. Research, develop, and implement administrative procedures and best practices that support consistency, accountability, and continuous improvement. Ensure compliance with applicable policies, procedures, and administrative requirements. Project & Initiative Coordination Coordinate and support the implementation of school-wide projects, operational priorities, and strategic initiatives. Monitor timelines, deliverables, and progress across multiple portfolios. Support change management activities, communications, and process implementation. Prepare reports, recommendations, and operational updates for school leadership. Skills & Abilities Strong knowledge of administrative operations and service delivery within a complex organization. Demonstrated supervisory, coaching, mentoring, and staff development skills. Ability to develop training materials, onboarding resources, and procedural documentation. Strong organizational, project coordination, and problem-solving skills. Ability to interpret and apply policies, procedures, and institutional guidelines. Excellent communication, interpersonal, and stakeholder relationship skills. Proficiency with Microsoft 365 applications. Experience with NAIT systems is considered an asset Experience with Workday, CourseDog, and Power BI is considered an asset Qualifications Bachelor's degree in a related field such as Arts, Commerce, Business Administration, or a related discipline. Experience in administrative coordination, supervision, or operational support roles. Equivalent combinations of education and experience may be considered. Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES). Classification - Administrative Officer I This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement. Remuneration Refer to salary range noted on this posting, plus a comprehensive benefits package.
