Position Summary
Full-Time Administration Contract, replacement position (May 25, 2026 – September 24, 2027)
As a key member of the Conestoga Entrepreneurship Collective (CEC), the Project Coordinator will lead the planning, execution, and evaluation of strategic and special projects that advance the CEC's mission and impact. The Coordinator will work collaboratively within the CEC and across departments, including academic schools, the Centre for Commercialization, Conestoga Research Centres, and other institutional and external partners to deliver high-quality initiatives that support entrepreneurs and expand the CEC’s program offerings, strengthening Conestoga’s entrepreneurial ecosystem.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the department's needs through a hybrid work arrangement, Monday to Friday, 9:00 a.m. to 5:00 p.m., with three days on-site at Conestoga’s Waterloo campus, located at 108 University Ave. E., or the CEC’s ecosystem location at Catalyst Commons, located at 137 Glasgow Street in Kitchener, and two days remote. This role may require occasional evening and weekend availability to support recruitment activities, events, and program operations.
Responsibilities
Project management
- Lead the end-to-end planning, execution, and evaluation of strategic and special projects within the CEC
- Develop project plans, timelines, budgets, and deliverables in alignment with CEC priorities
- Track progress, identify risks, and implement solutions to ensure timely and successful project completion
Coordination of Centre for Commercialization (C4C) and CEC projects
- Serve as the primary point of contact between the CEC and the C4C
- Coordinate with CEC coaches, C4C experts, and startup founders as needed
- Support the delivery of integrated programming (e.g., Intellectual Property (IP) workshops, mentorship, or one-on-one advisory sessions) for incubator participants
- Support development of case studies or knowledge-sharing outputs from collaborative work
- Monitor project outcomes and collect feedback from participants and stakeholders
- Support the development of final reports, presentations, or success stories that demonstrate the impact of the collaboration
Program development and delivery project support
- Coordinate the design and delivery of new CEC fee-for-service programs and services in collaboration with internal and external partners
- Support the expansion of entrepreneurship programming by working with academic schools and departments to create new programs or adapt and embed offerings within the curriculum
Stakeholder engagement
- Serve as a liaison between the CEC and Conestoga departments, research centres, and external collaborators related to project work
- Build strong relationships with faculty, staff, and community partners to support shared project goals
Administrative oversight
- Coordinate project-related administrative processes, including documentation within the Conestoga Client Relationship Management (CRM) system, purchasing, hiring of student staff or contractors, and vendor coordination
- Ensure compliance with Conestoga policies and budgetary controls
Qualifications
- A four-year degree in business, project management or a related field
- A minimum of three to five years of experience in project or program coordination
- A self-starter with a proactive attitude who can anticipate needs
- Excellent communication skills, both written and verbal
- Possess good interpersonal skills and the ability to maintain and foster cooperative and courteous working relationships with colleagues, peers and supervisors
- Proven organizational skills in managing multiple projects simultaneously and effectively within tightly prescribed timelines, and meeting all criteria
- Strong attention to detail
- Capacity to think and act strategically and to resolve complex problems with good judgement and diplomacy
- Excellent knowledge of Windows, MS Office products, Trello and Slack software
