COMPANY OVERVIEW
The Prairie Payments Joint Venture (PPJV) is a joint venture owned by three Prairie centrals created to digitally transform and modernize payment services for credit unions in the Prairies. PPJV’s goal is to ensure prairie credit unions are competitive in payments and have access to efficient, modernized payments processing infrastructure. ROLE SUMMARY
At Prairie Payments Joint Venture, the Facilities Officer is responsible for ensuring the office spaces and services meet the needs of our employees across the organization’s facilities. The role is responsible for overseeing the rented workspaces at PPJV locations and ensure the work environment is safe, functional, efficient, and aligned with business objectives, while maintaining regulatory compliance and sustainability standards. The Facilities Officer will drive excellence in the implementation of best practices in facilities operations and ensuring PPJV is following Occupational Health and Safety standards across facilities. This position is a single contributor role and works in the Calgary office.
KEY RESPONSIBILITIES
Facilities Oversight
- Develop and implement facilities operational strategies aligned with business needs and compliance requirements, while meeting annual budgets.
- Oversee daily operations of office spaces to ensure optimal functionality and safety.
- Oversee commercial lease agreements at each PPJV office locations, compliance with contractual obligations. This includes being the landlord liaison and point of contact for all leased or sub-leased spaces.
- Serve as the primary point of contact for emergency response planning, business continuity, and crisis management related to facilities.
- Develop plans, oversee office moves and lead space planning, office relocations, and renovations in collaboration with internal stakeholders and external vendors.
Administration
- Administer service contracts and oversee vendors for cleaning, security, waste management, and other facility-related services.
- Oversee administrative requirements at each location (including parking, stocking office requirements and courier services).
- Work with Information Technology Department for technology, infrastructure and equipment requirements.
Health & Safety

Develop a plan to set up Health and Safety and Facilities pages on company intranet.

Work with Training team and People and Culture to identify required training and scope for health and safety program.

Ensure compliance with health, safety, and environmental regulations, as well as building codes and company policies and supporting Health and Safety committees.

Implement and track sustainability initiatives, energy efficiency projects, and waste reduction efforts.

All other duties as assigned.
KEY SKILLS AND EXPERIENCE REQUIREMENTS
- Bachelor’s degree in Facilities Management, Business Administration, or a related field preferred.
- Proven experience (5+ years) in facilities management, building operations, and related fields.
- Proven experience of building and managing OHS regulations and committees, BCP and CMT plans
- Excellent project management skills with the ability to manage multiple priorities and deadlines
- Strong presentation skills are required to share facility related updates to all members and levels of the organization.
- Strong interpersonal skills, with the ability to collaborate effectively across departments and with vendors.
- Financial acumen with experience in budget development and cost control.
- Exceptional problem-solving, communication, and decision-making abilities.
- Must be bondable.
