About the role

Background Black Moms Connection (BMC) is a national non-profit organization serving a global online community of Black mothers, with over 50,000 members across North America and beyond. BMC delivers financial literacy programs, emergency grants, wellness workshops, and community programming in support of Black parents and their families. As the organization continues to grow, BMC is investing in strengthening its digital infrastructure. Two priorities are driving this engagement: refreshing BMC’s websites to better reflect the organization's current scale and offerings, and preparing the websites and supporting systems to accommodate the upcoming launch of a paid membership program. BMC also wishes to take this opportunity to assess its current CRM tool and determine whether it remains the right fit for the organization's needs, or whether a more suitable platform should be adopted going forward.

This Terms of Reference (TOR) invites qualified digital consultants or firms to propose for this engagement.

Purpose of the Assignment The purpose of this engagement is to: • Refresh and update the BMC websites to reflect the organization's current brand, programs,and scale • Integrate the technical infrastructure required to support a paid membership program, including payment processing • Assess BMC's current CRM platform and confirm the ideal solution for the organization's needs • Configure and integrate the confirmed CRM to support member data tracking, newsletter management, and reporting

Consultant Role & Engagement Model BMC is seeking a consultant or firm who will lead and manage this project end-to-end. This means the consultant is responsible for developing the project plan, managing timelines and milestones, making technical recommendations, and keeping BMC informed and aligned throughout the engagement.

BMC will provide strategic direction, content, brand assets, and timely approvals. The consultant is expected to drive execution — proactively flagging risks, proposing solutions, and maintaining momentum without requiring close management from the BMC team. An internal BMC staff member will serve as the day-to-day point of contact for approvals, content input, and testing coordination. The consultant should factor in regular check-ins and clear communication checkpoints as part of their proposed work plan.

Scope of Work

  1. Website Refresh & Update • Conduct a review of the current BMC websites — assessing design, content, structure, user experience, and technical performance (2 websites) • Refresh the websites to reflect BMC's current brand identity, programs, and organizational growth • Improve site navigation, accessibility, and overall user experience • Ensure the websites are technically equipped to support an increase in users and traffic • CMS Platform: The website(s) must be built on a robust Content Management System (CMS) — such as WordPress — that enables BMC staff to independently add, edit, and update pages and content on an ongoing basis, without requiring coding experience or ongoing consultant support • Hub Model — Programs: Restructure the Programs section from a single overview page to a hub model, with individual dedicated pages per program. This structure supports program growth, searchability, and audience development, and will serve as the foundation for the membership portal section as well • Required Technical Features: The website(s) must support the following capabilities — consultants should price for each explicitly: video integration; internal site search functionality (currently absent from the BMC websites); newsletter sign-up forms correctly integrated with the confirmed CRM; and lead capture pop-ups for membership sign-ups, events, and community engagement • Build a membership section on the main website, including a landing page, sign-up flow, and member account management • Ensure all existing pages, links, and integrations remain functional after the refresh

  2. Membership & Payment Integration • Integrate a payment processor (Stripe preferred) to enable secure recurring membership payments • Configure the membership sign-up flow on the website to capture member information and process payments • Ensure the end-to-end user experience — from landing page through sign-up, payment, and confirmation — is smooth and professional • Support a phased launch approach: internal testing, followed by external beta testing, followed by public launch

  3. CRM Assessment & Configuration • Review BMC's current CRM platform (Aplos) and assess its suitability for the organization's member management, donor tracking, and reporting needs • Research and evaluate alternative CRM platforms that may better align with BMC's size, operational needs, and budget • Confirm the ideal CRM platform for BMC — with clear rationale, cost comparison, and any transition considerations — and proceed to set it up as part of this engagement • Configure and integrate the confirmed CRM platform to receive and manage member data from the website and payment processor • Establish a clear and reliable data flow between the membership sign-up, payment confirmation, and CRM record creation • Provide basic documentation so BMC's internal admin team can manage and update records going forward

  4. Testing & Handoff • Support BMC's internal team through Phase 1 internal testing — reviewing all user flows, payment processing, and CRM data capture for accuracy • Assist with troubleshooting issues flagged during beta testing • Deliver a written technical summary of the completed setup, including known limitations and recommended ongoing maintenance • Conduct a handoff session with BMC's internal lead to ensure confident day-to-day management of all systems

Consultant Qualifications The ideal consultant or firm should demonstrate: • Proven experience refreshing or rebuilding websites for nonprofit or community-based organizations • Experience integrating membership functionality and payment processors (Stripe or equivalent) for recurring billing • Experience evaluating, configuring, and/or migrating CRM platforms for nonprofits • Familiarity with Aplos (an asset) and knowledge of comparable nonprofit CRM options • Strong communication skills — ability to explain technical decisions clearly to a non-technical team • Collaborative working style with the ability to support an internal admin team through implementation • Availability to begin work in June/July 2026 and complete core deliverables within the Foundation phase timeline

Proposal Submission Requirements Interested consultants or firms should submit the following: • Consultant/Firm Profile: Brief background, relevant experience, and qualifications • Technical Approach: Proposed methodology for the website refresh, membership integration, and CRM assessment • CRM Perspective: Initial thoughts on CRM evaluation approach and any relevant experience with nonprofit CRM platforms • Proposed Work Plan & Timeline: Estimated timeframe for each deliverable and key milestones • Platform & Software Costs: An itemized breakdown of any third-party platform, plugin, hosting, or software costs required to complete the work, presented separately from professional fees • Professional Fees: Consultant or firm fees for time and services • Relevant Work Examples: One or more examples of similar projects involving website builds and CRM or membership integration for nonprofits • References: Minimum two professional references
