Job Description Summary We are seeking a highly organized, analytical, and technology-savvy Project Coordinator – R&D Operations to support R&D, Product Development, and Continuous Improvement initiatives. This role serves as the central coordination and information hub for the R&D organization, ensuring projects are effectively tracked, information is organized, and leadership has clear visibility into project progress, team workload, resource allocation, and business priorities. Working closely with senior leadership, Finance, R&D, Product Development, and Operations, the Project Coordinator will coordinate project activities, collect and organize information from multiple teams, prepare reports and dashboards, and ensure project information is accurate, accessible, and actionable. The role plays a key part in improving operational effectiveness by providing timely reporting, facilitating communication, and supporting project execution across the organization. A key aspect of this position is leveraging AI and digital tools to streamline reporting, organize technical and operational information, support research, and improve productivity. Maintain project plans, status reports, action logs, meeting minutes, and project documentation. Schedule project meetings, prepare agendas, document key discussions, and track action items through to completion. Collect, validate, organize, and consolidate project, operational, and resource-related information from multiple functional teams. Monitor project workload, team capacity, and resource allocation, providing leadership with visibility into project demand and resource utilization. Prepare dashboards, reports, presentations, and executive summaries to support planning, prioritization, and leadership decision-making. Analyze project and operational information to identify trends, risks, bottlenecks, workload imbalances, and resource constraints, presenting findings for leadership review. Support project portfolio tracking and reporting across multiple business units. Act as a liaison between R&D, Product Development, Operations, Finance, and other cross-functional stakeholders to ensure information is shared accurately and projects remain aligned. Coordinate project administration activities, including meeting logistics, travel arrangements, expense reporting, documentation, and other administrative support as required. Leverage AI tools (e.g., ChatGPT, Microsoft Copilot, Claude) to organize, summarize, and analyze technical and operational information. Convert unstructured information—including meeting notes, technical documents, product formulations, images, and datasets—into structured reports, dashboards, and tracking tools. Organize product formulations, recipes, ingredients, ratios, and technical dependencies into structured formats that support reporting, project tracking, and knowledge management. Utilize AI-assisted research to compare formulations, summarize technical information, generate alternative approaches, and support early-stage R&D and Product Development activities. Translate technical and operational information into clear, concise reports and presentations that support informed leadership discussions. Required Qualifications Bachelor’s degree in Engineering, Business, Analytics, Operations, Supply Chain or a related discipline. 2–5 years of relevant experience in project coordination, project analysis, engineering support, operations support, or a similar analytical role. Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment. Advanced proficiency in Microsoft Excel (data analysis, reporting, dashboards). Strong analytical skills with the ability to interpret, structure, and present data clearly. Excellent written and verbal communication skills. Experience preparing reports, presentations, and executive-level summaries. Ability to work effectively with cross-functional teams and senior leadership. Experience using AI tools (e.g., ChatGPT, Claude, Microsoft Copilot) for analysis, reporting, or productivity is strongly preferred. Exposure to engineering, R&D, product development, manufacturing, or continuous improvement environments is an asset.
