About the role

The salary range for this position is $50,000 to $58,000. Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. In addition to base salary, eligible employees may be entitled to other elements of total compensation, which may include group benefits, employer RRSP contributions, and discretionary bonus or incentive programs, where applicable to the role. We are committed to offering competitive compensation and comply with all applicable pay transparency legislation. Further details regarding our total rewards program will be shared by the Talent Acquisition team during the hiring process. Canadian work experience is not a requirement for this role. The Events, Experiences & Operations Specialist (Waterloo) supports Sun Life's hospitality program, with a range of in-person meetings, hybrid events, and employee experience services. This role combines event management expertise with operational support, data analysis, and process improvement to enhance the overall efficiency and effectiveness of our corporate events and experiences. The specialist is an on-site position based at our Canadian Headquarter in Waterloo. This role is dedicated to ensuring seamless event experiences 60% of the time, while the remaining 40% is focused on supporting operations.

Now, if you were to come on board as our Events, Experiences & Operations Specialist, we’d ask you to do the following for us:

  • Coordinate on-site meetings, town halls, and receptions at Waterloo King office.
  • Manage event logistics, including space reservations, vendor liaisons, and on-site support
  • Ensure seamless delivery of food and beverage programs, working closely with catering partners
  • Develop and maintain operational systems to streamline event planning and execution
  • Identify opportunities for process improvements and implement efficiency-enhancing solutions
  • Collaborate with cross-functional teams to optimize resource allocation and reduce costs
  • Collect and analyze event data to track key performance indicators (KPIs) and measure success
  • Create comprehensive reports on event outcomes, attendee feedback, and financial performance
  • Use data insights to inform decision-making and improve future event strategies
  • Leverage event management software and tools to enhance planning and execution processes
  • Collaborate with AV and technology teams to ensure seamless integration of tech solutions
  • Stay current with emerging event technologies and recommend innovative solutions
  • Support Future of Work programs, coordinating hospitality and experiences
  • Track and analyze space usage data to optimize workplace efficiency
  • Collaborate with Workplace Solutions team to maintain high standards of cleanliness and safety
  • Stay informed about industry trends and best practices in event management and operations
  • Propose and implement innovative ideas to enhance event experiences and operational efficiency
  • Participate in professional development opportunities to expand skills and knowledge
  • Regular travel to Toronto (minimum 2 days per week) to support on-site event execution

  • 2+ years of experience in hospitality environments, contributing to events and/or AV service operations
  • Strong analytical skills with the ability to interpret data and generate actionable insights, including Excel
  • Proficiency in data analysis tools and event management software
  • Experience in process improvement and operational efficiency
  • Excellent project management and organizational skills
  • Adaptability to learn new systems
  • Strong problem-solving skills and ability to think creatively
  • Outstanding attention to detail and commitment to accuracy
  • Excellent communication and interpersonal skills
  • Knowledge of AV industry-related equipment and terminology preferred
  • Experience with data visualization tools and creating dashboards preferred
  • Familiarity with project management methodologies preferred
  • Involvement in industry-related associations preferred
