About CAPIC The Canadian Association of Professional Immigration Consultants (CAPIC) is a non-profit professional association for licensed immigration consultants in Canada. It is dedicated to promoting the best interests of immigration consultants in Canada. CAPIC is recognized as a key stakeholder in immigration issues, a national leader in professional development programs, and is credited with promoting professionalism in the immigration consulting industry. The Events Coordinator plans, organizes, and executes CAPIC–ACCPI events from inception to post-event follow-up. Working closely with the Marketing & Communications team, this role manages all event logistics, stakeholder communications, registration systems, and performance reporting to ensure every CAPIC event meets the organization’s standards and strategic objectives. We are seeking a dynamic person to join our team in this full time remote position. Compensation $55,000.00 annum (salary and incentive included). Employee health benefits and RRSP Employer Contribution Program.

DUTIES AND RESPONSIBILITIES The duties and responsibilities of the Events Coordinator are commensurate with and as required by this position. They include, but are not limited to:

  1. Identify requirements and expectations for each event.
  2. Liaise with service providers, vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
  3. Manage all event logistics — online and in-person — including set-up, tear down, virtual event hosting, green room management, and follow-up processes.
  4. Work with volunteers to ensure all event plans are implemented at the highest standards.
  5. Initiate event registration, monitor response, and coordinate with the Communications team to promote events.
  6. Support communication efforts with event sponsors, guests, speakers, and participants.
  7. Develop, collect, and organize event materials including graphic designs, presentations, and speeches from all relevant parties.
  8. Conduct final inspections on the day of the event to ensure everything adheres to CAPIC’s standards.
  9. Work with Events Manager and Marketing & Communications department to initiate and support event marketing efforts.
  10. Act as first point of contact for requests for event information.
  11. Implement, monitor, maintain, and reconcile the registration system.
  12. Monitor and track expenses and revenues against those budgets.
  13. Conduct post-event follow-up with guests, sponsors, speakers, and participants — including distribution of a survey link — in collaboration with Communications.
  14. Support efforts to increase attendance and revenue for annual and community events.
  15. Support tracking of event performance, identify areas for improvement, and submit findings for future event planning.
  16. Perform other tasks as assigned by the CEO. QUALIFICATIONS ● Associate’s or bachelor’s degree preferred in Events Management or a related field ● Exceptional communication skills and strong attention to detail ● Ability to work independently as part of a dynamic team ● Ability to prioritize among competing goals to execute on tight deadlines ● Must be a team player and bring a competitive spirit to help drive the team toward its goals ● Savvy with Microsoft Office (Word, Excel, PowerPoint), social media platforms, and online email and website modules ● Strong working knowledge of AI tools such as Claude and Copilot, with the ability to apply them to event planning, communications, and administrative tasks ● Experience in a comparable position
