Learn more at shn.ca Job Description: The Education Coordinator – Foundations plays an essential role in supporting the operational needs of SHN’s Medical Education Office. Reporting to the Director, Education, and working closely with the Temerty Faculty of Medicine, the Education Coordinator supports learner programming, scheduling, onboarding, and standardized patient-based education across SHN. This position ensures a smooth and high-quality educational experience for pre-clerkship medical students and SHN faculty, while contributing to SHN’s vision of becoming Canada’s leading community teaching health network. Key Responsibilities: Program Administration & Coordination: Coordinate and support pre-clerkship (Foundations) curriculum activities, including clinical skills sessions, case-based learning, portfolio-based education, health services research, Enriching Education Experiences (EEEs), and other pre-clerkship activities and medical student events Recruit faculty and develop schedules for tutorials, small-group sessions, and pre-clerkship teaching Recruit patients at SHN to support pre-clerkship teaching and general educational activities Support onboarding, registration, orientation, and access provision for learners Assist in the coordination of Objective Structured Clinical Examinations (OSCEs) and other assessment activities Support and coordinate the SCORE program to support clinical skills development for learners Support implementation of curriculum changes in collaboration with the University of Toronto and SHN Physician Education Leads Manage databases and records for learners, ensuring accurate documentation of schedules, attendance, and assessments Skills Development Coordination Coordinate the setup and logistical support for standardized patient (SP) encounters, simulation-based teaching, and skills lab Support the recruitment, scheduling, and preparation of standardized or volunteer patients Assist with planning and delivery of virtual standardized patient sessions and other technology-enabled education Ensure smooth execution of simulation and SP-based sessions by preparing materials, coordinating space and equipment, and providing on-site support Coordinate space and equipment needed to facilitate learning for Foundations curriculum Stakeholder Engagement & Communication Serve as a key contact between internal and external stakeholders, including learners, clinical departments, faculty, standardized patients, Professional Practice, Temerty Faculty of Medicine, and other relevant external stakeholders. Communicate schedules, session logistics, and program updates clearly and effectively to learners and faculty Draft professional communications, including letters, program announcements, and reports. Provide administrative support for education committees, meetings, and working groups as needed Manage learner issues and risks, working in collaboration with Education leadership to develop mitigation strategies. Project & Process Management Lead program-specific initiatives, including the planning and execution of educational events and special projects. Assist in developing medical education policies, procedures, and process improvements. Data Management & Reporting Monitor and track learner participation, session attendance, and assessment completion. Support collection and analysis of learner feedback for program evaluation and continuous improvement. Ensure data accuracy for learner records, compliance reporting, and accreditation standards. Other Other duties as required by the Director, Education and the Executive Vice President, Academics Requirements: Undergraduate degree in a relevant field or higher Minimum of three years of related administrative experience, preferably in a hospital or post-secondary environment Demonstrated student services’ experience and an understanding of hospital-based clinical training Knowledge of academic processes, including scheduling, management of student reports, and evaluation systems. Experience in medical education, simulation, or standardized patient programming preferred. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Superior organizational, time management, and administrative skills. Strong customer service orientation and stakeholder management abilities. Excellent written and verbal communication skills, including drafting professional level communications. Ability to manage competing priorities and work independently in a fast-paced environment, while maintaining a high degree of accuracy and quality. Exceptional problem-solving, analytical, and conflict-resolution skills. Ability to exercise discretion, diplomacy, and sound judgment on confidential matters. Working Conditions: Location: The main site is Centenary Hospital. Schedule: One-year part-time position with opportunity to become full-time in Spring 2027. Travel: Travel between SHN hospitals (Centenary, General, and Birchmount) may be required. This opportunity is posted to support the recruitment of an existing vacant position.
