Job Description: About the role: The Project Portfolio Analyst role is responsible for supporting the Director, Business Portfolio Management, including by identifying and allocating expenses, providing visibility into the current status of work across the portfolio, and supporting annual and quarterly financial and strategic planning activities. What will you do? Support the Director, Business Portfolio Management with ongoing activities such as financial reporting, annual forecasting, strategic planning, and ceremony/meeting execution. Support monthly and quarterly portfolio financial activities, including expense review, variance analysis, cost allocation validation, forecast support, and reconciliation across portfolio tracking tools and Finance inputs. Partner with Finance, PMs, Journey/Platform teams, and delivery stakeholders to clarify portfolio data, resolve discrepancies, support reporting, and ensure portfolio information remains current and reliable. Assist with regular stakeholder meetings via preparing agendas, sourcing pre-read material, managing conflicts, and documenting and following up on actions. Support other day-to-day portfolio management ad-hoc tasks. Work with Journey and Platform owners to maintain and update portfolio roadmaps, help prioritize deliverables and manage backlogs. Create and deliver stakeholder communications for ongoing priorities, including status updates, roadmap, dependencies, pressure points and key decisions requiring alignment Unique Requirements: Some project work may be required outside of regular office hours to support critical timelines and/or critical deliverables. Some travel may be required (between Toronto and Waterloo). What do you need to succeed? 3–5 years of experience supporting financial planning, expense tracking, forecasting, variance analysis, cost allocation, reporting, and reconciliation activities. 3–5 years of experience supporting portfolio management, financial analysis, business operations, or project coordination. University degree or college diploma, preferably in Business, Commerce, Accounting, Finance, or a related discipline, combined with relevant work experience. Proficient Excel skills are required, including the ability to build and maintain pivot tables, analyze large data sets, and support financial/portfolio reporting; experience with PowerPoint is also desired. Excellent communication skills, both verbal and written, with a proven ability to partner and build relationships across teams and stakeholder groups. High attention to detail and commitment to data quality, with the ability to identify inconsistencies, reconcile information across sources, and follow through to resolution. Proven flexibility, adaptability, and creativity to meet deadlines and manage competing priorities. Outcome-focused and results-driven. Strong analytical, planning, and organizational skills, combined with strong business sense. Preferred Skills: Experience with Planview or similar portfolio/project management tools is strongly preferred. Experience with Advanced Excel skills (Macros, VBA) and Tableau preferred. Experience in digital and/or large company environments. Experience in scaled agile environments with multi-layer operating models, using tools like Jira, Confluence. Highly motivated with the ability to consistently seek out improvements to current processes. Brings a high-energy and passionate outlook to the job and can influence those around them.
