About the role

Sub1313 Development a division of Canco Petroleum is seeking a highly organized and proactive Project Coordinator to support the planning, design, procurement, construction, and closeout of petroleum, retail, commercial, and car wash projects throughout Canada. 

The Project Coordinator will play a critical role in ensuring projects remain on schedule, within budget, and properly coordinated between clients, consultants, contractors, suppliers, municipalities, and internal teams. 

This role is ideal for an individual looking to develop into a Project Manager or Construction Manager while gaining exposure to all aspects of development and construction management. 

KEY RESPONSIBILITIES PROJECT PLANNING & COORDINATION 

  • Assist Project Managers and Construction Managers with project execution. 
  • Coordinate multiple projects simultaneously from initiation through completion. 
  • Maintain project schedules and track key milestones. 
  • Monitor project deliverables and deadlines. 
  • Track critical path items and identify potential delays. 
  • Prepare project status reports and progress updates. 
  • Coordinate project meetings and distribute meeting minutes. 
  • Follow up on action items and outstanding tasks. 

BUDGET & COST CONTROL 

  • Assist with project budgeting and cost tracking. 
  • Review and process invoices, purchase orders, and change orders. 
  • Track committed costs versus budget. 
  • Maintain project cost reports. 
  • Support project forecasting and financial reporting. 
  • Coordinate supplier and subcontractor pricing. 
  • Assist with tendering and bid evaluations. 

CONSULTANT COORDINATION 

  • Coordinate architects, engineers, petroleum consultants, environmental consultants, signage consultants, and specialty consultants. 
  • Ensure consultants meet project deadlines and deliverables. 
  • Track drawing submissions and revisions. 
  • Review consultant documentation for completeness. 
  • Coordinate design meetings and technical reviews. 

PERMITTING & REGULATORY APPROVALS 

  • Coordinate permit applications and submissions. 
  • Liaise with municipalities and regulatory authorities. 
  • Track permit approvals and conditions. 
  • Maintain permit logs and approval schedules. 
  • Coordinate responses to municipal comments and requests. 
  • Ensure project compliance with applicable regulations. 

CONSTRUCTION SUPPORT 

  • Support field operations and site teams. 
  • Coordinate construction schedules and contractor activities. 
  • Assist with RFI and submittal tracking. 
  • Monitor project progress against schedules. 
  • Coordinate inspections and testing requirements. 
  • Assist with project closeout and deficiency management. 
  • Support commissioning and turnover activities. 

PETROLEUM DIVISION SUPPORT 

  • Coordinate petroleum equipment procurement and installation schedules. 
  • Assist with tank replacement and petroleum infrastructure projects. 
  • Support petroleum service initiatives and dealer support programs. 
  • Coordinate contractors, equipment suppliers, and service providers. 
  • Track petroleum project budgets and timelines. 

DOCUMENTATION & ADMINISTRATION 

  • Maintain project files and document control systems. 
  • Organize contracts, permits, drawings, and project correspondence. 
  • Track project deliverables and approvals. 
  • Maintain project dashboards and reporting tools. 
  • Ensure accurate and up-to-date project records. 

QUALIFICATIONS REQUIRED 

  • Diploma or Degree in Construction Management, Engineering Technology, Architectural Technology, Business Administration, Project Management, or related field. 
  • 2–5 years of project coordination or construction coordination experience. 
  • Strong understanding of construction processes and project delivery. 
  • Excellent organizational and communication skills. 
  • Ability to manage multiple priorities and deadlines. 
  • Strong proficiency with Microsoft Office Suite. 
  • Experience working with budgets, schedules, and project documentation. 

PREFERRED 

  • Experience with petroleum, retail, commercial, or car wash projects. 
  • Experience coordinating consultants and contractors. 
  • Knowledge of permitting and development processes. 
  • Familiarity with construction contracts and procurement. 
  • Experience with project management software. 
  • Understanding of fuel systems, petroleum infrastructure, or retail development.
