Who you are You act as a driver of team efficiency by taking initiative and helping move work forward. You step in, take ownership, and follow through. You’re comfortable in environments where priorities evolve and information is not always complete. In that context, you bring structure, clarity, and momentum - by managing multiple priorities, connecting information, and ensuring nothing falls through the cracks. You work well with different people and adapt your approach depending on the situation. You communicate proactively, are comfortable reaching out, and contribute to keeping everyone aligned.
What you will do At Ecosystem, you won’t work on standard projects with off the shelf solutions. You’ll contribute to complex mandates where multiple stakeholders, priorities, and information streams need to be coordinated effectively. In this context, you will play a key role in supporting the flow of the project; helping structure information, maintain alignment across stakeholders, and ensure that key actions are followed through. You take initiative, anticipate needs, and contribute to keeping the project progressing smoothly from one phase to the next. More specifically, you will: Project Coordination: Coordinate schedules (MS Project), meetings, and project documentation in collaboration with the Project Team to support design and construction activities. Support tender and contract processes, including preparing and issuing RFPs, collecting bids, and consolidating information for analysis. Organize and participate in project meetings; ensure key information, decisions, and action items are clearly documented and shared. Monitor project progress by preparing status reports and ensuring timely communication of updates and key developments. Budget Monitoring and Updates: Create and manage COs and RFIs. Demonstrate accountability and maintain cost control view of the project (budget, forecast cashflow). Quality Control and Compliance: Bring structure to large volumes of information, extract what matters, ensure project documentation is complete and up to date. Ensure compliance with Occupational Health & Safety requirements for construction projects. Leadership and Training: Act as a central communication hub, facilitating collaboration among team members, managing project records, and upholding document quality and maintaining momentum. Assist colleagues in using project tools, processes, and systems.
Your profile At least 3 years of experience in project coordination. Strong organizational skills and ability to manage multiple priorities in a fast-paced, environment. Ability to synthesize and communicate information clearly and effectively. Attention to detail and rigor in documentation and follow-ups. Strong communication skills and a client-oriented mindset. Proficiency with Microsoft Office tools (MS Project, Excel, Word, Outlook, etc.). Proactive and ownership-driven: you anticipate needs, follow up effectively and help drive progress.
