Job Summary The Assistant Project Manager supports the Project Team from project award through final acceptance by assisting with the planning, coordination, and execution of construction projects to ensure they are delivered on schedule, within budget, and in compliance with quality and safety standards. This position plays a key role in driving project execution by establishing clear project schedules and deliverables, tracking performance against the plan, maintaining strong and effective communication with clients and stakeholders, and providing timely and accurate internal progress updates.
Job Duties and Responsibilities · Assist in managing all construction activities, which includes scheduling, coordinating with site super intendents, site coordinators, operation team, subcontractors, planning on-site deliveries, and managing procedures related to activities. · Support customer communication by preparing correspondence, attending meetings and helping document key project events, decisions, and issues to maintain strong customer satisfaction. · Help prepare project plans by gathering relevant information, organizing documentation, and supporting the PM during initial planning phase. · Assist the PM in preparing budgets, forecasts and reduce risk through managing scope and contract change. · Review and interpret contract documents, drawings, and specifications; ensure latest revisions are distributed and implemented. · Maintain organized records including project correspondence, drawings, schedules, and reports. · Preparation of project deliverables including tracking and creating of, RFIs, change orders, quotes, purchase orders, change notices, claims and invoices. · Coordinate with the design teams to report, analyse and track potential design changes as they arise. · Address and resolve any issues or discrepancies that arise during construction. · Managing meetings, taking the notes for minutes, and following up all items ensuring all of them being addressed and closed in timely manner. · Provide administrative support, including developing and maintaining project schedules, organizing project files, and assisting with reports and presentations. · Monitor all critical path items by assisting in tracking material deliveries, expediting orders when needed, helping find approved substitutes if possible/permitted, support the development and maintenance of the project schedule and critical path activities. · Prepare and present regular progress reports, including updates on timelines, budget status, and any issues encountered. · Assist in resolving project issues and mitigating risks by communicating effectively with various stakeholders. · Ensure all necessary permits and approvals are obtained and kept current. · Coordinate procurement and delivery of construction materials, ensuring accuracy and timeliness in accordance with project requirements. · Support quality control processes and verify compliance with contract specifications and company standards. · Assist with preparation of monthly progress payment certificates and project close-out documentation. · Conduct site visits and inspections to monitor construction activities and ensure compliance with company Health & Safety policies, procedures, and all applicable regulations. · Maintain and promote strong working relationships with clients, subcontractors, consultants, suppliers, and internal teams. · Provide technical assistance to project teams and site crews as needed. · Contribute to continuous improvement of project management practices and company procedures. · Help mentor student project coordinators/co-ops
Qualifications and Skills · Diploma or degree in Construction Management, Civil Engineering, or a related field. · 3–5 years of progressive experience in construction project coordination or management. · Strong understanding of construction contracts, drawings, specifications, and schedules. · Strong attention to detail and problem-solving skills, particularly in a fast-paced environment. · Strong organizational and time management skills with the ability to manage multiple tasks and prioritize effectively. · Excellent verbal and written communication skills for interacting with team members, clients, and stakeholders. · Ability to work collaboratively in a team-oriented environment while also being self-motivated and proactive. · Experience with subway/light rail projects, including delivery, and handover of infrastructure construction within GTA is an asset. · Proficient in Microsoft Office, project management software, and CAD tools. · Demonstrated ability to manage multiple priorities in a fast-paced environment. · Knowledge of the Ontario Occupational Health & Safety Act, construction practices, materials and relevant local regulations and standards.
Compensation & Benefits · $85,000-$90,000 commensurate with qualifications · Weekly pay · Health spending account $1000 annually in addition to group benefits · Education Reimbursement $2000 annually · 3% employer-matching RRSP · 3 week’s vacation to start · Hybrid position, mix of in office, site, and working from home
