Position Overview
SCWIST is seeking an organized and proactive Events Coordinator to support the planning and delivery of its virtual events portfolio. This role focuses on coordinating webinars, workshops, and virtual career fairs that connect participants with learning, mentorship, and employment opportunities. It is well suited for someone who thrives in a collaborative environment, is detail-oriented, and is passionate about creating engaging and accessible virtual experiences. The Events Coordinator will support the end-to-end execution of virtual events, ensuring a seamless experience for participants, speakers, and partners. Working closely with program and partnerships leads, this role will coordinate event calendars and workplans, manage logistics, support digital platforms, and oversee participant communications. The position also contributes to the ongoing improvement of SCWIST’s virtual programming, with an emphasis on inclusion and advancing equity in STEM.
Key Responsibilities Coordinate the end-to-end delivery of virtual events, including webinars, workshops, and virtual career fairs. Develop and manage event timelines, workplans, and checklists to ensure smooth execution. Set up and manage virtual event platforms (e.g., Zoom, Eventbrite, Pheedloop etc.), including registration pages, breakout rooms, and technical configurations. Liaise with speakers, facilitators, employers, and partners to confirm logistics, provide guidance, and ensure readiness. Support the development and scheduling of event-related communications, including invitations, reminders, and follow-ups. Provide live event support, including moderating sessions, troubleshooting technical issues, and managing participant engagement (chat, Q&A, polls). Track registrations and attendance, and compile post-event data and reports. Support post-event evaluations, including surveys and feedback analysis, and contribute to continuous improvement of programming. Maintain organized documentation of event processes, templates, and outcomes. Ensure events are accessible and inclusive, incorporating best practices for diverse audiences. As directed, support in‑person events by providing coordination, logistics and on‑site assistance as required Qualifications 1–3 years of experience in event coordination, program delivery, or a related role, preferably in a virtual environment. Demonstrated experience supporting virtual events or online learning environments. Familiarity with virtual event platforms (e.g., Zoom) and event management tools (e.g., Eventbrite). Strong organizational and time management skills, with the ability to manage multiple events and deadlines simultaneously. Excellent written and verbal communication skills. Experience coordinating with multiple stakeholders, including speakers, partners, and participants. Comfort troubleshooting basic technical issues in real time. Strong attention to detail and commitment to delivering high-quality participant experiences. Commitment to advancing equity, diversity, and inclusion, particularly for women and underrepresented groups in STEM. Assets Experience with virtual career fairs or multi-session online events. Bilingualism (English/French) is considered an asset. Knowledge of accessibility standards for virtual events.
Other Details Location: Remote (Candidate MUST legally reside within Canada) Schedule: Full-time employment, 35 hours per week, including occasional weekends and evenings. Salary Range: $30 to $38 per hour
