About the role
Peter Lucas Project Management is seeking a driven, organized, and proactive Project Coordinator to support proposal development, business development activities, project coordination, and execution of small industrial projects across the mining, energy, and heavy industrial sectors. The primary objective of this role is to support business growth and project delivery by reducing the administrative, proposal, and coordination workload carried by senior project staff. This role is ideal for an individual with 3–7 years of experience supporting industrial projects, engineering projects, maintenance, operations, construction, consulting, or related environments. The successful candidate will play a key role in developing proposals, coordinating project activities, managing vendor interactions, supporting client relationships, and progressively taking ownership of smaller projects and work packages. Success in this role will be measured by the ability to independently coordinate proposals, support project delivery, and progressively assume responsibility for client-facing project work. This is a hands-on position for someone who takes initiative, enjoys solving problems, and is motivated to build a long-term career in project delivery, business development, and project management. The successful candidate will work closely with project managers, clients, vendors, and technical specialists to help win work, support project execution, and contribute to the continued growth of the business. Key Responsibilities: Proposal Development & Business Development Support Support the preparation, coordination, and submission of technical and commercial proposals. Assist in developing scopes of work, execution plans, schedules, assumptions, and resource plans. Coordinate proposal inputs from internal subject matter experts and external partners. Prepare proposal documents, estimate hours, and assist with pricing development. Maintain proposal tracking tools, action item registers, and submission schedules. Research clients, projects, and market opportunities. Support preparation of qualification packages, capability statements, and marketing materials. Assist with maintaining CRM systems, opportunity pipelines, and business development trackers. Participate in client meetings, networking events, and industry functions. Support client follow-up activities and relationship development initiatives. Assist in identifying opportunities for additional work and supporting client growth initiatives. Project Coordination & Project Support Support Project Managers and Project Engineers in the planning and execution of client projects. Assist with project planning, scheduling, budgeting, forecasting, and progress tracking. Coordinate technical inputs and deliverables from internal teams, consultants, contractors, and vendors. Maintain project action registers, decision logs, risk registers, and deliverable trackers. Support document control, project reporting, and project administration activities. Participate in project meetings and prepare meeting minutes and action logs. Assist with scope development, change management, and project documentation. Monitor project progress and help identify potential schedule, cost, or execution risks. Support project startup, execution, and closeout activities. Vendor & Contractor Coordination Support procurement and vendor management activities. Coordinate vendor quotations, technical reviews, and bid evaluations. Track vendor deliverables, commitments, and action items. Assist with purchase requisitions, purchase orders, and contract administration activities. Facilitate communication between project teams, vendors, contractors, and clients. Assist in resolving technical and commercial issues as they arise. Support expediting and follow-up activities to ensure project commitments are met. Small Project Management Manage smaller projects and work packages under the guidance of senior staff. Develop project execution plans, schedules, and budgets. Coordinate stakeholders, project resources, and project deliverables. Monitor progress and communicate status updates to clients and management. Ensure work is completed safely, efficiently, and in accordance with client expectations. Support project closeout activities and lessons learned reviews. Progressively assume responsibility for larger scopes and projects as experience develops. Develop direct working relationships with clients and become a trusted point of contact for assigned projects and work packages. Internal Improvement & Team Support Assist with development and improvement of proposal templates, project tools, and internal processes. Support continuous improvement initiatives across the organization. Contribute to a collaborative and entrepreneurial team environment. Take ownership of assigned tasks and proactively identify opportunities to improve efficiency and add value. Help reduce administrative burden on senior project staff through effective coordination and follow-through. Work Schedule: Office-based in Saskatoon, Saskatchewan, Monday to Friday. Hybrid work arrangements may be available depending on workload and project requirements. Occasional travel to client sites, meetings, conferences, and project locations may be required. Must have: 3–7 years of experience supporting industrial projects, engineering projects, maintenance, operations, construction, consulting, or related environments. Experience coordinating multiple priorities, stakeholders, and deliverables simultaneously. Strong written and verbal communication skills. Experience preparing reports, proposals, presentations, or project documentation. Strong organizational, planning, and time-management skills. Proficiency with Microsoft Office Suite. Valid driver's license and reliable transportation. Nice to have: Degree or diploma in Engineering, Engineering Technology, Project Management, Construction Management, Business, or a related field. Engineer-in-Training or P.Eng designation or eligibility for registration with APEGS. PMP, CAPM, Gold Seal, Project Management Certificate, Business Diploma, etc. Exposure to project management processes, cost tracking, scheduling, forecasting, and risk management. Experience supporting proposal development and business development activities. Familiarity with procurement, vendor management, and contract administration processes. Experience using project management software such as MS Project, Primavera, or similar tools. Experience working directly with clients, contractors, and vendors. Familiarity with industrial facilities, mining operations, or energy projects.
