The base salary will be $66,350 - $94,700 per annum*. Starting salary will be aligned with the successful candidate’s experience, skills, and demonstrated qualifications.

Responsibilities
The Maintenance Planning Coordinator manages the proactive planning, scheduling, and coordination of university maintenance activities and assets within Facilities Management (FM) to ensure timely, efficient, and high-quality service delivery. The role minimizes disruption to academic, research, and campus operations while optimizing asset reliability, preventative maintenance performance, and lifecycle outcomes. By supporting regulatory and legislative compliance and embedding safe work practices, the Coordinator contributes to a safe, reliable, and well-maintained campus environment. The position also functions as a central coordination hub for FM, providing advanced planning, scheduling, and communication support to trades teams and the campus community.
Qualifications
Education:
- Undergraduate Degree in Business or Technical Diploma/Degree or Skilled Trades Red Seal Certification
- Completion of some post-secondary courses related to general building maintenance or trades is preferred
Experience:
- 3 years experience providing administrative support and customer service, related to facilities preferred
- 3 years experience supporting preventative maintenance and planning procedures within a large organization
- Experience ideally obtained in a complex public sector or manufacturing environment is preferred
Knowledge, Skills & Abilities:
- Advanced computer skills in Microsoft Office, Work Order Management System/ Asset Management (New IFS System), and Atlassian Confluence/Jira
- Demonstrated ability to create and manage complex schedules with several variables
- Knowledge of electrical and mechanical systems, techniques and practices for preventative maintenance
- Knowledge of general office administration policies
- Exceptional customer service skills to handle enquiries and resolve issues in a professional and timely manner
- Judgment, analytical, and problem-solving skills with a consultative and collaborative approach to addressing issues and opportunities
- Possesses a reputation for resourcefulness with a strong sense of accountability and initiative
- Ability to work well under pressure and handle multiple conflicting priorities in a fast- paced environment with frequent interruptions
- Able to build and maintain lasting relationships within the department, with other departments, and other key business partners
- Demonstrated ability to work independently (with minimal supervision) and take initiative and follow through on work priorities
- Positive, outgoing attitude with an unwavering commitment to customer service and teamwork
