Position Overview We are currently seeking a Mechanical Project Coordinator to join our growing Special Projects Group (SPG).

Reporting to the Senior Project Manager, the Mechanical Project Coordinator will support multiple Project Managers and project teams by coordinating project documentation, procurement activities, financial tracking, scheduling, and communications. This role is critical to ensuring projects are delivered efficiently, accurately, and successfully.

The ideal candidate is organized, proactive, detail-oriented, and thrives in a fast-paced environment where no two days are the same.

Key Responsibilities Support multiple Project Managers and active projects simultaneously. Assist with project startup, planning, scheduling, and closeout activities. Coordinate and maintain project documentation, including RFIs, submittals, shop drawings, change orders, and correspondence. Track project milestones and support the team in meeting critical deadlines. Assist with material procurement, purchase orders, and delivery coordination. Support project billings, cost tracking, forecasting, and reporting. Maintain accurate project records and document control systems. Coordinate meetings and facilitate communication between clients, consultants, subcontractors, suppliers, and internal stakeholders. Support field teams by ensuring they have access to current project information and documentation. Assist with project administration and problem-solving as required.

Qualifications & Experience 2+ years of experience in a Project Coordinator, Construction Administrator, Project Administrator, or similar role. Experience in mechanical contracting, plumbing, HVAC, service, retrofit, tenant improvement, or commercial construction is strongly preferred. Post-secondary education in Construction Management, Engineering Technology, Business Administration, or a related field is considered an asset. Proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and Teams. Experience with Bluebeam and cloud-based project management platforms is an asset. Strong organizational, time management, and communication skills. Ability to manage multiple priorities and deadlines in a fast-paced environment. Self-motivated, detail-oriented, and committed to delivering exceptional service.
