Job Description:
PURPOSE OF POSITION
To provide support and business expertise for the research, analysis, planning, development and implementation of best practices, strategies, systems and business solutions related to licensing operations and compliance outcomes.
KEY RESPONSIBILITIES
- Supports projects for the development and implementation of business solutions including identifying business/service issues/problems, analyzing business processes and data/work flows, and developing options for process redesign.
- Prepares detailed business cases for senior management to support recommended business strategies and new initiatives. Ensures recommendations are consistent with the Pilot goals and deliverables.
- Plans and leads business process projects for the design/development of best practices, performance measures benchmarking and re-engineering. Initiates from start to implementation; develops project plans, identifies key outcomes, and determines required resources.
- Leads the implementation of new/revised best practices, processes and business methods/tools, communications strategies and products, training; reviews existing policies/procedures that are impacted as a result of re-engineering/change management activities.
- Performs post-implementation reviews to assess the performance of new/re-engineered processes and practices in terms of best practices and lessons learned in order to support continuous improvements.
- Develops training materials and provides training to branch/division members on implemented products/solutions.
- Provides training on internal processes, systems, practices and procedures
- Develops and maintains relationships with stakeholder groups (internal and external) to support the research/development of coordinated best practices and effective market conduct regulatory processes.
- Drafts/prepares or reviews a broad range of documentation to support administrative proceedings, including notices, orders, affidavits, correspondence, and other legal documents, consistent with the applicable rules of practice or procedure for the Financial Services Tribunal or Courts.
- Manages all aspects of document management, production, and disclosure, including collecting, organizing, managing, coding, indexing, redacting, and summarizing voluminous electronic and hard copy documents and evidence; coordinates the storage and retrieval of records.
- Maintains filing compliance and administration files to a high degree of organization, ensuring accessibility, completeness, and continuity of case administration.
- Monitors the status of files including all timelines; maintains department file list, and prepares monthly statistics and a monthly report tracking, as required.
- Provides end-to-end administration and case management of compliance files including opening and closing files, processing expenses, and liaising with other departments within FSRA to ensure the publication and execution of Orders or other compliance outcomes.
- Corresponds with Financial Services Tribunal, courts, external counsel, stakeholders, and other partners and suppliers.
QUALIFICATIONS
Education and Experience
- Degree in Business, Risk Management, Accounting, Legal or Finance, related field, or equivalent.
- Proven knowledge of theory and practice of business process modeling, capability maturity modelling and quality systems to plan and undertake process re-engineering assignments and to research, test and implement approved associated tools, methods and standards.
Knowledge and Skills
- General understanding of the sectors that FSRA regulates.
- Ability to tactfully communicate with various levels of the organization to request or provide information.
- Ability to work both independently and collaboratively with others in a team environment.
- Demonstrated analytical and problem-solving skills to lead the assessment of business analysis results and to determine key elements to drive process improvement.
- Proven oral and written communications to prepare and present a broad range of materials including business cases, marketing and communications plans, processes and procedures.
- Good interpersonal skills and ability to communicate effectively both verbally and in writing.
- Efficient organizational and planning skills to meet deadlines and workload demands.
- Proficient with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Teams) and other internal applications, as required.
