POSITION DESCRIPTION
The Senior Manager, Operations Executive Support is a senior level support and advisory resource, responsible for supporting the Vice President in obtaining the insight, analysis, decision-ready information, required to support effective decision-making and operational alignment across Operations.
This role supports and coordinates business analytics, executive operations, executive governance, and stakeholder engagement. It coordinates priorities across Operations, oversees preparation of executive materials, and provides analytical and advisory support on issues affecting the Operations and the organization.
The Senior Manager supports the Vice President through confidential analysis, issues tracking, anticipating needs, analyzing data, shaping agendas, and advancing high-impact initiatives that support organizational performance and reputation.
KEY RESPONSIBILITIES
1. Strategic Initiative Leadership
- Support priority, cross-functional initiatives sponsored by the Vice President—including organizational reviews, business transformation projects, operational improvements, and priority-setting exercises.
- Assist in scoping project requirements, developing plans, coordinating cross-functional teams, and tracking progress, risks, and outcomes.
- Support continuous improvement and operational excellence efforts across the business.
2. Issues Management & Decision Support
- Identify, track, triage, and support resolution of operational, stakeholder and strategic issues impacting Operations.
- Prepare briefing materials to support the Vice President on critical issues with clear options and recommended pathways.
3. Executive Governance
- Coordinate the preparation, coordination, and quality control of ELT materials, agendas, and presentations.
- Support the development of submissions are substantive, strategic, and aligned with Vice President expectations and organizational priorities.
- Work with SLT members to review and refine materials, ensuring clarity of recommendations, evidence, risk analysis, and alignment to strategy.
- Support Vice President preparations for board, executive and committee meetings, including briefing materials, pre-reads, analyses, and anticipated questions.
4. Data Analytics & Business Performance/Insights
- Summarize and synthesize business analysis and develop data-driven insights to support Vice President and Operational decisions on performance, risk, workforce, financials, operations, and strategic priorities.
- Prepare Vice President briefings on emerging issues, risks, stakeholder concerns, and opportunities requiring executive attention.
- Serve as key point of coordination for business analytics, reporting, trend analysis, KPI monitoring, operational performance metrics, workforce and financial data.
- Translate complex data into clear, decision-ready insight to support VP decision-making. Partner with ELT, SLT and leaders across the organization to ensure the Vice President receives accurate, timely, and strategic information.
5. Stakeholder Outreach & Strategic Engagement
- Support preparation for stakeholder engagements, including coordination of materials, briefing notes, and logistics.
- Coordinate with other departments to support preparation for speaking opportunities and external engagements
- Support coordination and follow-up activities related to stakeholder interactions. Assist the Vice President with customer complaint intake, tracking and resolution.
6. Executive Office Operations & Integration
- Support seamless operations of the Office of the Vice President, establishing standards for communication, briefing materials, decision documents, and information flow.
- Integrate executive support functions to create consistency, alignment, and efficiency across the enterprise.
- Coordinate internal activities, prioritization, and alignment to ensure the Vice President’s time is optimized for the most strategic matters.
QUALIFICATIONS & EXPERIENCE
Education & Experience
- Bachelor’s degree in business, public administration, policy, analytics, or related field. MBA or equivalent experience considered an asset.
- 8–10+ years of progressive professional experience in strategy, business operations, analytics, governance, or executive environments, including at least 5 years supporting senior executives (Directors, VP, CEO, or equivalent).
- Demonstrated experience operating in complex, multi-stakeholder environments with enterprise-wide exposure.
- Experience preparing board-level materials and advising senior executives.
- Experience working with data and analytics teams and interpreting complex analytics for executive decisions.
- Demonstrated ability to manage sensitive issues with high judgment and confidentiality.
- Experience with external customers and stakeholder management.
Knowledge Requirements
- Understanding of and experience within an Operational function, executive operations, and business planning processes.
- Knowledge of KPI development, business performance tracking, and reporting.
- Expertise in organizational strategy, change management, and customer issues management.
- Political acuity and ability to navigate complex multi-stakeholder environments.
