About the role
The salary range for this position is $55,000 – $57,000. Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. In addition to base salary, eligible employees may be entitled to other elements of total compensation, which may include group benefits, employer RRSP contributions, and discretionary bonus or incentive programs, where applicable to the role. We are committed to offering competitive compensation and comply with all applicable pay transparency legislation. Further details regarding our total rewards program will be shared by the Talent Acquisition team during the hiring process. Canadian work experience is not a requirement for this role. Our Events & Catering Team is currently seeking a highly organized and dynamic Event Coordinator to join our team! The Event Coordinator will be responsible for planning, coordinating, and executing smaller events and functions in our Conference Centre while ensuring seamless operations and exceptional client satisfaction.
Reporting to the Manager, Events and Catering, this role focuses on managing events in meeting rooms and sections of the multipurpose spaces, while also supporting Event Operations and administrative tasks for the Events & Catering team, as required. Any challenges or questions will be escalated to the Manager, Events and Catering. This role may also include other duties as assigned by their direct manager.
Now, If You Were To Come On Board As Our Event Coordinator We’d Ask You To Do The Following For Us
Event coordination – Ensure delivery of events and conferences to a wide range of business and technical platforms. Includes problem identification to measuring the effectiveness of implemented solutions. Manage hybrid and live events which includes booking space, coordinating stakeholder requirements for room set up, staging & audio visual, and food and beverage. Ensure clear understanding of requirements and make recommendations. Manage budgets and financial reconciliation. Develop detailed event plans, including timelines, layouts and logistics. Coordinate & build relations with our internal teams (Catering, AV, Facilities, Operations), clients & external vendors to ensure all events are delivered with consistency and in a timely, effective and cost-efficient manner. Operations Support – Update the event calendar on a weekly basis, ensuring that all events are properly reflected and communicated to the necessary teams. Facilitate organization and distribution of weekly dietary sheets and manage creation of seasonal menu labels. Assist with the distribution of in-the-week, for-the-week Workplace Catering orders and triaging inquiries as needed. Request & confirm Kosher orders; manage post-event payment processes. Support on required actions for last-minute BEO changes as needed. Support with the end-to-end facilitation of rental orders from external vendors. Access Coordination – Liaise with the building landlord & security to coordinate access times for events and lobby registration tables when required. Dashboard Support – Provide support on the intake processes as needed, managing event inquiries and ensuring prompt responses. Perform other duties as assigned by the Manager, Events and Catering.

Bachelor’s degree in Event Management, Hospitality, Business Administration, or related field Minimum 2-3 years of event experience Strong communication and analytical skills, well developed interpersonal skills, excellent written and verbal communication skills Well-developed organization skills, ability to adapt to changing circumstances with ease Proficiency in event Management Software, EMS is a bonus Proficiency in Microsoft Suite (Word, Excel, Outlook, PowerPoint)
