The Program Coordinator is responsible for coordinating and administering the delivery of one or more programs (e.g. RBT2, Gateway program) and related infrastructure projects within the CFO Division.

As assigned, the Program Coordinator will collect and analyze project-level information and produce program-level reports and dashboards to help ensure coordination of inter-departmental contributions to the program and the efficient and consistent planning, execution, monitoring and controlling of elements common to the projects such as risk, schedule, resources, engagement and First Nations consultation; among others.

The Program Coordinator will also contribute to the development of the port authority’s Project Management Framework for capital projects, support the adoption of the framework by project teams, as well as identify opportunities for improvements and implement approved changes.

What You Do

Write briefing papers, business cases, submissions, reports and presentations to facilitate the approval of projects. Coordinate the planning, execution, monitoring, reporting, and closing of various projects. Track open action items, issues and risks and ensure timely resolution. Provide construction and design coordination advice to the appointed Project Manager. Prepare requests for proposal; participate in the selection of consultants and contractors. Assist with the preparation of project cost estimates and progress reports. Prepare high level schedules for project delivery and resource management purposes. Assist in overseeing site investigation, topographic surveys and other pre-construction contracts. Coordinate and participate in communication and consultation with project stakeholders, including municipalities, road and rail authorities’ adjacent communities and First Nations. Coordinate and administer construction activities: inspect and record construction activities and progress. Report on project status through various internal VFPA tracking systems. Prepare and/or check progress claims. Participate in the preparation of monthly project status reports. Perform other assigned duties as required

What You Bring

Must have a university degree in civil engineering from a recognized educational institution along with a minimum of 2 years of experience in the delivery of major infrastructure projects within complex multi-stakeholder environments including project development, procurement, design and construction supervision and contract administration. Must have excellent computer skills including the use of Microsoft office tools. Experience in the use of design software would be considered and asset. Must be a team player with excellent interpersonal and communication skills and the ability to work effectively and positively with all contacts, internally and externally. Must be able to work independently, accurately and on own initiative to maintain work output with minimum supervision. Must be a highly organized and detailed-oriented individual who can manage competing priorities and perform multiple tasks as required. Must have an excellent communication skills, both oral and written.
