POSITION SUMMARY
The Operations Coordinator, Infrastructure Operations and Support, is responsible for coordinating operational activities, governance processes, documentation, reporting, and stakeholder follow-up across the Infrastructure Operations and Support portfolio.
This role supports the coordination of operational initiatives, service-related processes, governance forums, and user-facing operational workflows by working closely with internal teams, National Host Sites, National Support Teams, Alliance partners, and other stakeholders in a distributed environment.
The position helps ensure operational priorities are tracked, coordinated, documented, and followed through, enabling consistency, transparency, and continuity across a nationally distributed operational environment.
The Operations Coordinator reports to the Operations Manager, Infrastructure Operations and Support.
RESPONSIBILITIES
Operational Coordination and Service Delivery Coordinate operational activities and follow-up for national initiatives across the Infrastructure Operations and Support function. Track deliverables, dependencies, and action items across internal teams, National Host Sites, National Support Teams, and other stakeholders to support alignment and continuity. Coordinate intake, tracking, routing, and follow-up of operational requests and service-related activities. Support tracking of operational priorities by maintaining status tracking, following up on outstanding actions, and escalating issues as required. Support day-to-day operational coordination to help ensure activities progress in a structured and timely manner across a distributed environment.
Governance Coordination and Administrative Support Coordinate governance meetings, operational forums, and working groups, including scheduling, agenda preparation, documentation, and action item tracking. Record and maintain meeting notes, decisions, risks, and action items to ensure governance continuity and accurate record keeping. Track and follow up on governance action items to support completion and stakeholder alignment. Serve as a coordination point supporting communication between Infrastructure Operations and Support leadership and internal or external stakeholders. Support coordination across distributed stakeholders to ensure governance processes are documented and followed through consistently.
Documentation, Reporting, and Operational Support Develop, maintain, and organize operational documentation, reports, briefing materials, presentations, and tracking tools. Maintain operational records, documentation repositories, and reporting materials to support accuracy and organizational continuity. Support preparation of status updates, briefing notes, presentations, dashboards, and other reporting materials for leadership and stakeholders. Assist in the maintenance and improvement of documentation standards and operational tracking processes. Ensure operational information is accurate, accessible, and consistently maintained across systems and stakeholders.
User and Service Process Coordination Coordinate user-related operational processes across National Host Sites and distributed stakeholders. Support coordination of service-related operational communications and related workflows in collaboration with technical leads, Communications & Marketing, and other internal teams. Assist with operational activities related to service changes, maintenance events, incidents, and user-facing initiatives. Support consistency in user-facing operational processes by coordinating inputs, tracking requirements, and following up with stakeholders.
Operational Continuity and Cross-Functional Support Support onboarding activities, process documentation, knowledge management, and operational continuity initiatives. Coordinate follow-up activities and support tracking of commitments across cross-functional initiatives and working groups. Provide day-to-day operational coordination support to the Manager and assist with Director-led, Vice President-led, and cross-divisional initiatives within the scope of Infrastructure Operations and Support, as assigned.Support continuity of operational activities during periods of change, increased demand, or shifting priorities.
QUALIFICATIONS Post-secondary degree in Business Administration, Public Administration, Communications, Information Technology, Project Management, or a related discipline. 5 to 7 years of progressive experience supporting operational coordination, governance processes, stakeholder engagement, reporting, or documentation management in a complex organizational environment. Experience coordinating operational activities across multiple teams, organizations, or stakeholder groups in a distributed environment. Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities and competing deadlines. Excellent written and verbal communication skills with the ability to communicate effectively with both technical and non-technical audiences. Advanced proficiency with Microsoft 365, Google Workspace, collaboration platforms, and related productivity tools. Experience preparing reports, presentations, briefing materials, dashboards, and governance documentation. Experience supporting governance forums, committees, working groups, or structured stakeholder engagement processes. Familiarity with information technology service management, service desk processes, operational support functions, or service delivery frameworks is considered an asset. Experience working in higher education, research, technology, public sector, digital infrastructure, or distributed service environments is considered an asset. Experience working with distributed teams, partner organizations, or national-scale initiatives is considered an asset. Experience using project coordination or task tracking tools to support workflow visibility and follow-up is considered an asset. Ability to exercise sound judgment in organizing tasks, following up on commitments, and supporting operational continuity in a fast-paced and evolving environment. Bilingualism in English and French is considered an asset.

The expected salary range for this position for candidates residing in Canada is between $70,550 CAD - $95,450 CAD. Placement within this range will be determined based on several factors, including a candidate’s qualifications, skills, experience, demonstrated performance, overall alignment with the requirements of the role, and internal equity considerations, and other relevant organizational factors.
