Job Description:
Position Purpose:
The Ontario Division Event Specialist exists to plan, promote, and optimize special events that enhance public awareness and drive fundraising outcomes for the organization. By developing and executing integrated marketing strategies, analyzing trends, and measuring campaign performance, the role ensures events are impactful and aligned with organizational goals. This position contributes by maximizing engagement, staying within budget, and continuously improving event results. Ultimately, it strengthens the organization’s visibility and financial support through effective event and marketing management.
Key Accountabilities:
- Develop, manage, lead & execute integrated event marketing strategies & plans that increase brand awareness, attract new donors, sponsors and achieve strategic fundraising objectives across the Ontario division.
- Secure event funding through sponsorships, ticket sales, and fundraising initiatives to meet or exceed financial targets.
- Lead end-to-end event logistics as producer, ensuring all activities are delivered on schedule and aligned with established plans.
- Be the Event SME (Subject Matter Expert), providing event expertise to ministry units across the division.
- Collaborate with DSPR & divisional leadership and stakeholders to identify resource needs, including venues, registration processes, and guest accommodations.
- Assist the DSPR to establish a divisional partners committee to extend reach of TSA brand to increase donor acquisition through events.
- Manage all committee & event meetings, agendas, and facilitation
- Manage all logistical components of events - creative design, venues, promotion, attendees, sponsors, communications etc., to ensure cohesive planning and effective event promotion throughout the division and THQ mission partners.
- Manage vendor relationships, budgets, and audio/visual resources to deliver high-quality events efficiently and within financial limits.
- Provide exceptional mission support to ministry units and the divisional leadership team by providing event marketing assets, guidance, and training to strengthen local event execution.
- Develop an event documentation & tracking system that covers formalized pre-event planning & logistics e.g.: briefings, critical paths, volunteer training, to post event elements e.g.: thank you’s.
- Evaluate event performance through data analysis, reporting, and follow-up with stakeholders to inform continuous improvement and future decision-making.
Education and Experience Qualifications:
- Completion of a diploma in events management; an alternative level of education and experience will be considered
- Minimum 3-5 years professional experience in special events, utilizing events for fundraising, and special event marketing
- Assess event performance using data and metrics to improve outcomes and guide future planning.
- Coordinate all aspects of event planning and logistics to ensure smooth and successful delivery.
- Lead and support teams of staff and volunteers to execute events efficiently and collaboratively.
- Maintain professionalism through strong integrity, sound judgment, and strict confidentiality.
- Communicate effectively with stakeholders through clear, concise written and verbal interactions.
- Organize multiple priorities with strong attention to detail, time management, and self-direction.
- Deliver exceptional service and creative event solutions that enhance participant experience and engagement.
- Adapt to evolving needs with flexibility, diplomacy, and a commitment to organizational values, including availability for events outside regular hours.
Successful candidates must have a full drivers license. We will need an drivers abstract to be able to use our event program vehicle. They will be required to travel throughout Ontario as needed.
Compensation:
The target hiring range for this position is $58,531.20 to $73,174.40 with a maximum of $87,817.60.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
